Custom CRM Development, Built Around How You Sell

Custom CRM development in India: we design and build CRMs for sales teams around your stages, your lead sources and your reports. Your data stays yours, and you can export it at any time.

Who a Custom CRM Is For

Most of the teams we talk to already have a system. It’s just spread across a spreadsheet, a few WhatsApp groups and one person’s memory. If any of these sound familiar, a CRM will start earning its keep in the leads you stop losing.

Your Counsellors Share One Excel Sheet

Everyone edits the same file. Someone sorts a column, someone else filters it, and by afternoon nobody trusts what they are looking at. Leads get called twice, or not at all.

Ad Leads Land in a Sheet Every Morning

Somebody downloads Facebook leads, pastes them into a sheet and forwards them on WhatsApp. On a busy day the forwarding waits, and the people who just filled your form wait with it.

Site Visits and Follow-Ups Live in Diaries

Each salesperson keeps their own notes. When someone is on leave, or leaves for good, their pipeline goes with them.

The Owner Wants Answers, Not Exports

How many enquiries came in this week? Who followed up? Which campaign produced the deals? Today, each question means an evening with a spreadsheet.

Off-the-Shelf Tools Never Quite Fit

You tried a ready-made CRM, but its stages, fields and reports didn’t match how you sell. Your team went back to the sheet within a month.

What Goes Wrong When Sales Runs on WhatsApp and Spreadsheets

None of this is a people problem. It’s what happens when the tools don’t match the way the work actually gets done.

Leads Arrive in Five Places

A Facebook form here, a website enquiry there, a call someone wrote down on paper. Nobody has the full list, so some leads are never called at all.

Nobody Is Sure Who Owns a Lead

When new leads are dropped into a WhatsApp group, two people call the same person, or each assumes the other one did.

Follow-Ups Live in People’s Heads

“Call back tomorrow” works until tomorrow is busy. Without a reminder, a buyer who was ready last week has moved on.

The Spreadsheet Quietly Breaks

Phone numbers turn into 9.78E+09, the same person appears three times, and one person’s filter changes the view for everyone else.

Owners Can’t See the Pipeline

A simple question like “how many enquiries came in this week, and how many did we close?” takes an evening of counting.

What We Build for You

Every CRM we build is different, but most include these pieces. We only build what your process needs, and nothing you’ll pay to maintain without using.

  • Lead Capture From Every Source

Facebook Lead Ads, website and WordPress forms, Google Sheets and manual entry, all flowing into one pipeline. See integrations and automation for how each connection works.

  • Assignment Rules

New leads go to the right person by a rule we agree with you, for example taking turns across a team, so nothing waits to be forwarded.

  • Call Tracking and Reminders

Every call attempt is logged as ringing, unanswered, answered or not reachable. An unanswered call comes back as a follow-up the next day; a number that isn’t reachable comes back after two.

  • Your Stages, Your Pipeline

Stages named the way your team already talks: site visit, counselling call, OPD visit, quotation sent, whatever applies to you.

  • Deals and Commissions

Follow a lead all the way to a closed deal, with payment milestones, sequential deal numbers and commission splits where your business pays them.

  • Dashboards

Leads by stage, follow-ups due today, the outcome of recent calls, deals by stage and what closed this month, visible at a glance.

  • Roles, Page Access and Saved Views

Owners, team leads and salespeople each see what they should, and you can switch individual pages on or off per person. Everyone can save the filtered views they open every morning.

  • Documents on the Record

Agreements, KYC papers and payment receipts attached to the lead or deal they belong to, opened only by people who are allowed to see that record.

  • Migration From Spreadsheets

Your old leads imported from Excel or Google Sheets, with duplicates removed and mangled phone numbers repaired before go-live.

  • Automatic Backups and Export

Scheduled backups to Google Drive, and a one-click export of everything for admins, downloaded as a single ZIP file. The data is yours.

  • Hosting and Security

Deployed on a hardened server with login rate limiting, per-user access control and uptime monitoring. See cloud and server setup.

How a CRM Project Runs

Seven phases, in this order, on every project. How long each one takes depends on the scope; your written plan sets out the dates before anything starts.

  1. Discovery

We talk to the people who will use the CRM: how leads arrive, who calls them, and what “closed” means for you.

  2. Plan Sign-Off

A written plan covering stages, roles, lead sources, reports and migration. Nothing is built until you approve it.

  3. Build

We build in short rounds and show you each round, so changes happen early, not at the end.

  4. Testing

Every feature is tested in a real browser and on phones, with real-shaped data, before you see it.

  5. Launch

Old leads imported and checked with you. The old sheet stays available until the CRM has proved itself.

  6. Training

Training as agreed for your team, using your own pipeline, not a demo.

  7. Support

An annual maintenance plan, which can cover fixes, small changes and help when your process grows.

What You Get at Handover

When the CRM goes live, you should be able to run it without us. This is what we hand over.

  • Admin and Team Logins

An admin login for you and a login for every team member, with roles and page access set the way we agreed.

  • Your Data, Exportable

Admins can download a full export of every record as a ZIP file at any time, without asking us.

  • Backups You Know About

Scheduled backups to Google Drive, and a clear explanation of where they go and how a restore works.

  • Written Notes

Plain-language notes on adding users, changing stages, reassigning leads and running an export.

  • Training As Agreed

Training as agreed for your team, for the people who use the CRM every day and the admins who look after it.

  • A List of Every Connection

Which lead sources feed the CRM, what each one sends, and what to check if leads stop arriving.

Support and Maintenance After Launch

A CRM is never finished. Your team will ask for a new report, a stage will change, a lead source will be added. An annual maintenance plan can keep those changes from turning into a new project.

When something needs attention, you message the person who built it, with no ticket queue in between.

What a Plan Can Cover

  • Fixes if something doesn’t work as agreed
  • New fields and reports
  • Keeping lead-source connections working when platforms change their forms
  • Checking that scheduled backups keep running
  • Help when your team, stages or roles change

What your plan includes is written down before you sign it.

Custom CRM or Evalo CRM?

We build both, so we have no reason to push you towards either. Here’s how we usually decide together.

Custom CRM

Built from scratch around your process.

  • Your stages or reports don’t fit an off-the-shelf tool
  • You need it connected to specific lead sources or systems
  • Different teams or branches work in different ways

Evalo CRM

Our ready-to-use CRM.

  • You run a real estate brokerage or an education team
  • Your sales process is close to the usual one
  • You want to start without a build project

Custom CRM Questions

Something else on your mind? Ask us directly.

How Long Does It Take to Build a Custom CRM?

It depends on how many stages, roles and integrations you need. After the first call we send a written plan with the scope and timeline, and nothing starts until you approve it.

How Is It Priced?

Every CRM is quoted after we understand your process. The first consultation is free, and the quote is written so you know exactly what is included.

Can Our Old Leads Come with Us?

Yes. We import your Excel files or Google Sheets, remove duplicate leads, repair phone numbers that spreadsheets have mangled, and check the result with you before go-live.

Which Lead Sources Can It Connect To?

Facebook Lead Ads, website forms, WordPress and Google Sheets are the common ones, plus manual entry. If you use something else, we look at what it can send and connect it where possible. More on our integrations page.

How Are New Leads Assigned?

By a rule we agree with you. Taking turns across a team is common; some teams split by city, course or campaign. Managers can always reassign a lead by hand.

Can Salespeople See Each Other’s Leads?

Only if you want them to. Admins see everything, team leads see their team, and salespeople see what’s assigned to them. You can also switch individual pages on or off for each person.

Will It Work on Phones?

Yes. Your team can use it in the browser on their phones, and we test every screen on real phones before launch. If you need a separate app, see mobile apps.

Who Owns the Data?

You do. Admins can export everything at any time as a ZIP file, and the data is backed up automatically to Google Drive. Ownership of the code is agreed in writing for each project.

What Happens After Launch?

We stay on through an annual maintenance plan, which can cover fixes, small improvements and help when your process changes. What your plan includes is written down before you sign it.

Should We Build Custom or Use Evalo CRM?

If you run a brokerage or an education team with a fairly standard process, Evalo CRM may be enough. If your process is different, custom is usually the better fit. We’ll tell you honestly on the first call.

What to Bring to the First Call

None of this is required. But the more of it you can share, the more specific our advice on the call can be.

  • A copy or screenshot of the sheet your team uses today, with real names removed if you prefer.
  • A list of where leads come from: ad forms, website, calls, walk-ins, portals or referrals.
  • The stages a lead goes through from enquiry to closed, in your own words.
  • How many people will use the CRM, and who should see what.
  • The two or three questions you wish you could answer about your sales today.
